One operating system for the entire ADS customer journey.
A bespoke, role-based platform designed around how ADS actually sells, delivers and supports complex smart-home projects — from the first enquiry to long-term aftercare.
Start here.
Ash will walk through the recommendation, the commercial case, how the platform fits together and the proposed delivery process.
The requirement is bigger than a CRM.
ADS has built a successful 20-year business around complex, high-value smart-home projects. The challenge is that the systems supporting the business have grown in separate layers. Jobber, Specifier, Slack, WhatsApp, Mailchimp, spreadsheets and inboxes each solve part of the problem, but they do not operate as one connected system.
The issue is not a lack of data.
It is that the right data is often in the wrong place, duplicated, hard to retrieve or dependent on a particular person remembering what happened next.
The proposed outcome
One practical source of truth covering sales, delivery, installation, finance and long-term aftercare.
What is happening today — and what it costs operationally.
The consultation highlighted a business with strong people and processes, but too much operational context spread across separate tools and personal knowledge.
Small improvements can return meaningful capacity.
The consultation did not include detailed time-and-motion data, so these are deliberately illustrative scenarios rather than guaranteed savings. They show what modest improvements can look like across a 15-person team.
10 team members save 15 minutes per working day
25 quotes/week save 10 minutes each
10 demos/week save 10 minutes
5 reports/week save 15 minutes
At a loaded hourly cost of £25, that represents £16,250 of annual capacity. At £35/hour, it is £22,750. The value may show up as more project work, faster service, less overtime or more senior time spent on sales and delivery decisions.
The platform cannot guarantee a higher conversion rate. It can make the behaviours that support conversion more consistent: faster responses, scheduled follow-up, visible next actions and fewer valuable opportunities quietly going cold.
ADS Smart Home Unified Operations Platform
One bespoke, role-based system built around the complete ADS customer and project lifecycle, with the same customer, contact, property and history staying connected all the way through.
The customer record does not end when the sale is won.
A customer may have multiple contacts, properties and opportunities. A successful opportunity becomes a project without losing the sales history. Visits, files, kit, finance and internal communication stay attached. After handover, the same property record continues into maintenance and future support.
A detailed look at what is included.
The initial build covers the operational core discussed in the consultation. Open each section below for the detailed capability set.
The platform changes around the person using it.
Permissions will be finalised during discovery, but the intended model is deliberately role-based: less noise, clearer actions and appropriate control of sensitive information.

A connected workflow rather than another collection of modules.
Creates or matches the correct customer and contact.
Plans, notes, requirements and next actions stay attached.
Versions, revisions and client acceptance are part of the same record.
The sales history carries directly into delivery.
Procurement, engineers and installation status update the same project.
Support, credentials and remedial visits remain tied to the property for years.
AI-assisted development changes the economics of bespoke software.
Traditional custom development often uses separate product, UX, frontend, backend, QA and project-management resources over a longer development cycle. FTOS deliberately uses a leaner model.
Modern AI-assisted development accelerates application code, interfaces and standard workflows, allowing a small experienced team to produce working software much faster than conventional line-by-line development.
FTOS is not starting from zero. Role-based dashboards, CRM records, project workflows, portals, file handling, reporting and integrations are patterns we have already delivered. ADS receives a bespoke application without paying us to rediscover solutions we already know.
The written proposal references published 2026 UK software-company benchmarking from Clutch, where indicative MVP web/mobile projects commonly sit in this range, with cross-functional UK development teams around £60–£120/hour. These are broad market benchmarks, not a claim that every agency would quote ADS the same figure.
AI-assisted development, reusable patterns and a lean project structure reduce the development overhead while retaining deliberate architecture, human QA, security review and ongoing support.
Fast development does not mean accepting whatever AI produces.
Security and quality assurance are treated separately from the accelerated code-generation process. FTOS plans the architecture, builds in controlled stages, reviews outputs, tests each role and corrects issues before a stage is accepted.
No internet-connected software can legitimately be described as risk-free. The focus is appropriate architecture, least-privilege access, secure configuration, testing, monitoring and ongoing maintenance.
High-risk changes such as database, authentication and permissions are treated as checkpoints.
Protected screens and records are tested from authorised and unauthorised role perspectives.
Technical credentials receive additional access controls and auditable access where appropriate.
Desktop, mobile and key user journeys are checked after meaningful changes.
Where Base44 is selected, its published controls include SOC 2 Type II, ISO 27001, TLS 1.2+ in transit and AES-256 encryption at rest.
Security, integration and platform maintenance continue through the concierge service.
A working MVP first. Controlled adoption after.
The approximately eight-week target is a usable MVP and testing milestone — not a promise that ADS must switch off every existing system at that point. A realistic wider implementation window is approximately 12–16 weeks for refinement, integrations, migration and staged adoption.
Confirm the data model, roles, key workflows, integrations, migration sources and priorities.
Core application structure, navigation, roles, main records and dashboards.
Enquiries, demos, pipeline, communications and proposal journey.
Projects, scheduling, engineer portal, files, internal communication and kit tracking.
Procurement, stock, finance/Xero, reporting and maintenance.
Role-by-role and journey-by-journey testing, permissions, mobile and regression testing.
A working environment with realistic test data for practical feedback at approximately eight weeks.
Changes from real use, integration testing and selected-team adoption.
Historical data import, training, parallel operation where useful and staged cutover.
Ongoing smaller improvements and operational refinement after launch.
The useful history comes with you.
Historic information matters because ADS regularly needs data from installations completed years earlier.
Automated migration using accessible exports/APIs is included. If a legacy provider prevents usable extraction and extensive manual re-entry or reconstruction is required, that manual work will be assessed and agreed separately before it is undertaken.
A complete V1 platform, not a menu of disconnected modules.
The implementation price covers the agreed V1 scope as one connected transformation project.
Architecture, custom platform build, role-based interfaces, agreed V1 modules, standard integration connection work, reasonable automated migration, internal QA/security review, MVP environment, pilot support, training and initial rollout.
£297 + VAT per month
The platform is intended to evolve with ADS rather than being handed over as static software. The concierge service provides the ongoing technical foundation and smaller continuous improvements required to keep it useful.
Additional integration, messaging, AI or communication usage above the included allowances can be purchased as required. Carrier/provider fees and unusually high-volume usage may be passed through where applicable and will be explained before activation. Entirely new modules, major redesigns or substantial new integrations remain separate scope unless agreed.
Built to expand, without loading V1 with unnecessary complexity.
The following ideas can be added later but are not assumed inside the £24,995 initial V1 investment unless agreed separately.
Hardware or smart-home installation work; third-party subscriptions or usage unless explicitly included; extensive manual reconstruction of inaccessible legacy records; major functionality outside the agreed V1; unlimited new-module development under concierge; legal, accounting or regulatory advice.
Relevant system access, brand assets and proposal content, named decision-makers across key workflows, timely decisions and feedback, practical MVP/pilot testing, finance/accountant input where required and approval of the final rollout approach.
Ready to move forward?
If ADS is happy with the proposed direction, the next step is simply to confirm that you would like FTOS to proceed. We will then organise project commencement, onboarding, the initial architecture session and the development schedule.
Karl can confirm the next step and get the project commencement process moving.
